Creating a Document Record for Collaboration

 

  1. From the SmartSolve Portal Page, click the Home tab at the top of the window.
  2. In the Document Management section of the list, select Create Document.
  3. In the Type field, zoom to select the Default Document document type and then click Next.
  1. Enter information in the following fields:
Field Description

Type

Displays the selected document type.

Title

Enter a title or name for the document.

Organization Unit

Zoom to select a organization unit to which to tie the document. For additional information on configuration, see Organization Unit.

Process

Zoom to select a business/manufacturing process to which to tie the document. For additional information on configuration, see Process.

Product

Zoom to select a product to which to tie the document. For additional information on configuration, see Product.

Plant Area

Zoom to select a plant area to which to attach the document. For additional information on configuration, see Plant Area.

Comment

Enter any additional comments about the document.

Change Order No.

Click the drop down button and select the change order related to the new record, if necessary.

  1. Click the Save button.
    Result: The Document record for collaboration has been added and the Document record is displayed.
  2. Click the Active Review link.
  3. Click the Approval Routing tab.
  4. Click Action > Add. This is the step where an additional collaborator, aside from the document owner, is added.
  5. Enter the information for the collaborator.
  6. Click the Save button.
    Result: The collaborator is now listed.
  7. Repeat steps 8-10 until all collaborators have been added.
  8. In the document tree on the left side of the record, click the Detail link.
  9. Click the CheckIn button at the top of the window.
  10. Browse to select the document and then click the Save button.
    Result: The Document record has been created, the collaboration group established, and the document checked in. The document is now ready to be routed to the collaborators for their reviews.
